The Productivity Programme – Business Maturity Assessment Tool & Online Portal

The Productivity Programme is a business improvement tool. The purpose of the programme is to enhance productivity, efficiency, and profitability at your workplace. It is the New Zealand adaption of international best practices found in the Toyota Production System, Lean, and the Continuous Improvement method. By involving the entire team, it enables businesses to improve customer outcomes by working smarter, not harder.

The online Portal was born out of necessity during the COVID-19 lockdown. Before COVID, we would send a consultant to a workplace to assess and provide guidance for change and business improvement. However, we noticed several outcomes from this process:

  • The staff and management at the business were experiencing information overload.
  • Businesses were fully reliant on our consultant.
  • Businesses weren’t always checking results, and there was little accountability.

For years, our team had been saying we needed to document our knowledge. COVID-19 provided that opportunity. Through lengthy discussions, we identified 24 common themes that we call ‘Practices’. It is an important part of Lean and Continuous Improvement to reduce and remove waste in the workplace. Every job has tasks or elements that do not really contribute to the job. For example, looking for tools, correcting mistakes, waiting for parts, and searching for the right files. None of these activities add any additional value in the eyes of the customer and therefore are considered ‘waste’. The Productivity Programme helps to identify areas of business improvement and provides businesses with easy-to-use online How-to Guides, you can refer to at any time.

 

Cycle of Improvement

The Productivity Programme uses a systematic approach. It involves planning, executing changes, reviewing expected outcomes, and making adjustments to the initial plan. It starts with an in-depth business analysis alongside one of our consultants. Using our Productivity Assessment Wheel, we’ll help you to understand how you’re currently working, what needs to be improved, and how to develop a company-specific plan.

The Productivity Programme includes an assessment for each practice on the Wheel. Our consultants will sit with you and your team while you perform an assessment of your business. This can be performed in two or three hours. Previously, an assessment like this would take several days. The Productivity Wheel is trademarked, and we are the only Lean methodology and customer outcomes business to use this method.

Often an assessment will identify areas of incoherence among staff and resources. For example, a company may initially contact us for help organising its workplace. However, our assessment may discover that machinery maintenance should take priority. Our method will help you identify what is important.

 

Enhancing the Online Portal

During COVID-19 we were supplying our clients with detailed PDF guides. However, we soon realised the length and format of the documents meant very few of our clients had the time and bandwidth to read the information. This prompted us to create the online Portal.

Recently, we’ve improved the user’s Portal experience based on client feedback, and our clients are impressed. Our changes have included simplifying the pathway to make it easier to use. It’s mobile-friendly, links to videos and templates, and is fully interactive. The Portal provides bite-sized information, and targeted content for managers and staff – the language used differs depending on the target audience.

We have included an inbuilt self-test, which means staff can evaluate the Practices themselves, receive a clear direction going forward for the next steps, and how they can make business improvements themselves.

Our Productivity Programme is suitable for businesses of all sizes in various industries, such as manufacturing, food, horticulture, packaging, engineering, carpentry, and construction. We have also collaborated with law firms, service firms, and larger retail stores. Now, our clients have access to all the information they need in an easy-to-use online format, that they can refer to at any time.
