Three Tips to Improve your Personal Productivity

At Productivity People, we help teams and organisations think and act differently to improve their performance. However, there are many people out there who would like to improve their personal productivity but are not part of a team that receives our support.

Here are some tips that will help you:

One

Firstly, set your priority for the day. Create a visible list of a few tasks that must be completed and have a few, “nice if I get around to do it”. Start with a manageable task that will give you a sense of achievement when it is completed. Make sure to tick it off when it is done. Instead of a list, you can create a simple 2 by 2 matrix on your whiteboard: Urgent versus Important. This will help you focus on your non-urgent & important work as well.

Know yourself. Plan your most difficult tasks when you are at your best. I am most productive between 10 AM – noon and after 3 PM. This is when I work on my most challenging tasks, for example, the non-urgent important work. Depending on your work environment, you might have to block your calendar and close your office door for one hour a day.

Three

Finally, don’t work frantically until the minute you have to leave. Take the time to close off your work and leave in an organised manner:

  • Empty your email inbox.
  • Check your daily action list.
  • Have you sent updates to everyone that needs to be informed?
  • Tidy your desk.

This personal 5s will be your gift to yourself in the morning. It is so much better to arrive at a tidy desk and an organised workspace. It will set the tone for the day to come.

Of course, being an island of efficiency in a sea of chaos is not a sustainable solution. But by paving the way and showing how you can work effective; your colleagues will take note and you will be able to share these ideas. Thus, becoming an initiator of productivity improvement in your work area.
